Terms & conditions.
Effective 18 October 2026
These terms explain how we supply business customers. Please read them alongside your quotation and order confirmation.
1. Who you are buying from
QRFill is the trading name of Victor Ideson, a sole trader, at 3 Rowan Drive, Ponteland, Northumberland, NE20 9QJ. Contact hello@qrfill.co.uk or 07903 027530.
QRFill currently supplies customers purchasing for business purposes. These terms are not intended for consumer purchases and do not remove rights that cannot legally be excluded.
2. Quotes and accepting your order
Your quotation or written proposal sets out the products, specifications, pack sizes, prices, delivery charges, any minimum order and any quotation expiry date. Tell us about requirements that are important to your purchase before ordering.
A QR scan, submitted request or automated acknowledgement is not acceptance. A contract is formed when we expressly confirm acceptance in writing, identifying the agreed supply details. A delivery estimate or progress status alone is not that written confirmation. Any order-specific variation to these terms must be expressly agreed in writing before acceptance.
We will contact you if stock is unavailable or a price or product detail needs correcting. We will not make a material substitution without your agreement.
3. Prices and payment
QRFill is not VAT registered and does not charge VAT. Prices and any delivery charges are agreed before we accept an order. Example prices in the demonstration are not quotations.
Payment is by bank transfer before dispatch unless we have separately agreed credit terms in writing. Payment instructions are supplied with your invoice or order confirmation. Any agreed credit arrangement will state its payment deadline. Changes to future prices do not change an accepted order without your agreement.
4. Delivery
Delivery coverage, charges and arrangements are confirmed for each order. Customer-requested dates and workspace estimates are provisional until we confirm them. Next-working-day delivery applies only where we expressly confirm eligibility, availability and the applicable cut-off.
Provide accurate delivery details and tell us about access or receiving restrictions. We will contact you about material delays and agree a practical resolution. Any split-delivery arrangements or additional redelivery charges must be agreed with you; they are not automatically imposed by these terms.
5. Changes, cancellations and returns
Contact us as soon as possible if you need to change or cancel an order. We will confirm what is possible before you incur any agreed cancellation cost. For business change-of-mind returns, contact us before sending goods back: eligibility, timing, return carriage and any charges must be agreed in writing. No standard restocking fee is imposed by these terms. Any special-order cancellation or return restriction must be disclosed and agreed before acceptance.
This is separate from faulty, damaged, incorrect or misdescribed goods. Report these promptly with your order reference and details of the problem. We will investigate and arrange the appropriate remedy in accordance with your legal rights. A request to report promptly does not itself remove those rights.
6. Your account and replenishment
Keep account credentials secure and tell us when staff access should be removed or if you suspect misuse. Check the product, pack size, quantity and outstanding orders before confirming a further request.
QR ordering does not automatically measure physical stock. Your team remains responsible for checking stock and using any agreed reorder triggers. Reserved stock, stock ownership, scheduled supply and minimum commitments require a separate written agreement.
7. The public demonstration
The demo uses a shared fictional customer and example prices and dates. Demo activity can be visible to other visitors. It does not create a real purchase, take payment or book delivery. Do not enter confidential or personal information into the demo.
8. Problems and responsibility
Please contact us with your order reference and the outcome you are seeking so we can investigate. Nothing in these terms excludes liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or any liability that cannot lawfully be excluded. These terms do not impose a general financial liability cap.
English and Welsh law governs these business contracts, subject to any mandatory applicable law. The courts of England and Wales have non-exclusive jurisdiction.
9. Changes to these terms
We may update these terms for future orders. The version provided and agreed when an order is accepted applies to that order unless we agree a change with you. Contact us if you need a copy.
